2. Introduction and Purpose of the Manual
This manual has been prepared in accordance with Section 51 of the Promotion of Access to Information Act (PAIA) and the Protection of Personal Information Act (POPIA).
The purpose of this manual is to assist persons wishing to:
- Understand what records are held by TrueNorth Global Connections (Pty) Ltd (“TNGC”), and
- Know how to request access to those records lawfully and transparently.
TNGC is committed to compliance with PAIA and POPIA and ensures that personal and company information is processed lawfully, stored securely, and only used for legitimate business purposes.
3. Description of the Company’s Activities
TrueNorth Global Connections (Pty) Ltd (TNGC) provides:
- Student and professional recruitment
- Visa guidance and international placement services
- Online training and pre-recorded courses
TNGC connects students and professionals from Southern Africa with international universities and employers in the UK, USA, Canada, Europe, and Australia.

5. Categories of Records Held by TNGC
TNGC holds records in the following categories, both in physical and electronic form:
5.1 Company Administration
- Registration documents
- CIPC filings and company resolutions
- Licences and compliance certificates
5.2 Human Resources
- Employee records (employment contracts, training records, etc.)
- Payroll and benefits records
5.3 Client and Candidate Information
- Application forms and supporting documents
- Visa and placement records
- Communication logs and service agreements
5.4 Financial and Accounting Records
- Invoices and receipts
- Bank records and payment confirmations
- Tax and VAT documentation
5.5 Marketing and Communications
- Website and social media content
- Advertising and campaign records
- Newsletters and email lists (via Zoho platform)
5.6 Third-Party and Partner Information
- University and employer partnership agreements
- Visa processing partner records
6. Request Procedures
Any person wishing to request access to information held by TNGC must:
- Complete the Request for Access to Record (Form C), available from the Information Regulator or www.justice.gov.za/inforeg/
- Submit the completed form to the Information Officer at:
support@tngc.co.za - State the specific record requested and the reason for the request.
- Include proof of identity (ID copy or passport).
7. Fees Payable for Requests
Fees are determined by the Promotion of Access to Information Act Regulations:
- A request fee (currently R140) may be payable before the request is processed.
- Additional fees may apply for photocopying, printing, or electronic reproduction.
- If the request is refused, the request fee is non-refundable.

8. Grounds for Refusal of Access
TNGC may lawfully refuse access to information in terms of Sections 62–70 of PAIA, including:
- Protection of personal information of third parties
- Confidential commercial or financial information
- Information protected by professional privilege
- Information that would endanger the life or safety of an individual
- Records that do not exist or cannot be found
9. Remedies Available if a Request is Refused
If a request for access is refused, the requester may:
- Lodge an internal appeal with the Information Officer (where applicable), or
- Submit a complaint to the Information Regulator of South Africa, or
- Apply to a High Court for relief.
10. Protection of Personal Information (POPIA)
TNGC processes personal information in accordance with the Protection of Personal Information Act (4 of 2013).
All personal data is collected with consent and used only for legitimate business purposes such as recruitment, visa support, and communication.
Data subjects have the right to:
- Access and correct their personal information,
- Request deletion or limitation of processing, and
- Object to direct marketing communications.
Requests relating to personal data must be submitted in writing to the Information Officer.
